The Cardiac Center Surgical Coordinator is responsible for accurate scheduling of cardiac catheterizations, cardiac anesthesia, cardiothoracic surgeries, electrophysiology/radiofrequency ablation procedures and related pre-procedure/surgery studies. Role will be cross trained in Cardiac MRI's.
Coordinates the scheduling of non-cardiac surgeries in the cardiac operating room.
Coordinates the scheduling of non-cardiac surgeries in any OR, ASC or partner location
Coordinate procedure/surgery/studies being scheduled with physician/surgeon availability.
Update catheterization lab and operating room schedules as well as the Cardiac Center's database.
Coordinate order of catheterization lab cases based upon priorities established by the Director of the Catheterization Lab and Director of Electrophysiology Services.
Coordinate with other specialty clinics as well as for patients seen at the Cardiac Center's outreach sites so as to consolidate scheduling of multiple procedures/studies/surgeries/consults into the fewest number of visits/admissions to AIDHC.
Communicate as needed with internal/external referring sources.
Verify that insurance information, eligibility, referral, authorization and demographic information are accurately entered into the computer system.
Responsible for informing Admissions, Transcription, Cardiac Social Services and clinical conference coordinator of procedures/surgeries after they are scheduled.
Responsible for informing families of any necessary authorizations and pre-certifications.
When necessary, access interpreter services during scheduling process and coordinate the availability of interpreter services on the day of the procedure/surgery/study/consult.
Responsible for informing patients/families of NPO orders, medication start/stop orders as well as what to bring with them the day of the procedure/surgery.
Inform patients/family of availability of Ronald McDonald House.
Routinely fields call backs from patients/parents who are anxious prior to procedure/surgery, acts as the Cardiac Center's first line contact but refers on to appropriate clinical staff if necessary.
Utilize exemplary decision-making skills to override, overbook and overrule schedules as directed and/or as appropriate in coordination with clinical team.
Must be proficient in all Standard Business Practices and EPIC application.
Demonstrate ability to assess situations to meet daily operational needs of staff and patients.
Responsible for participation in departmental and hospital programs for Quality Assessment and Improvement, identifying opportunities to improve services, making recommendations and implementing actions as appropriate and consistent with the goals of Nemours.
Essential Functions:
Answer and handle all phone call, fax, and e-referral requests regarding scheduling in a prompt and professional manner.
Schedule and register patient procedures/surgeries/studies/consults following the Standard Business Practices.
Triage procedures/surgeries/studies/consults requests as necessary to gather information needed for correct procedure/surgery scheduling. Obtain medical triage from clinical staff when appropriate.
Coordinate Cardiac or non-cardiac Anesthesia as needed.
Inform family of necessary insurance authorizations, pre-certifications and financial responsibilities, which may be due, at time of service. Transfer self-pay patients and families needing financial assistance to a Financial Counselor.
Schedule patient procedures/surgeries/studies/consults according to scheduling instructions and department guidelines in a timely, thorough and accurate manner. Adhere to all system warnings.
Ensure urgent diagnosis appointments are handled as priority level, involving clinical triage as appropriate and according to guidelines.
Keep abreast of all insurance and system changes/updates, Payor Plan Standards, Just in Time Learning's, News to Use, scheduling guidelines, etc. Responsible for informing families of any necessary authorizations and pre-certifications.
Communicate/review all procedures/surgeries/studies/consults related preparations, travel directions, and instructions after entering appointment into computer system with the patient/family.
Work with the Cardiac Center's IVR manager to contact insurance companies, PCP, referring provider, or legal guardian to obtain appropriate information as needed.
Maintain annual/new hire training as required by sites, JCAHO, etc.

Additional miscellaneous duties and responsibilities, as may be assigned from time to time by employee's supervisor.
Job Requirement:
High School Diploma required; Associate or Bachelor Degree is preferred
Minimum of 5 years of administrative assistant and/or surgery scheduling experience is required.
