The Program Assistant is the administrative liaison for a multi-faceted program under supervision of a program director and serves as primary contact and resource to program staff, clients, and visitors for administrative information and technical assistance. Responds to questions, requests, or needs based on specific knowledge of the program and its operations.
The Program Assistant is responsible for overseeing patient flow and ensuring the center's administrative needs are being met. Resolves routine administrative problems independently and registers new clients during open access in a timely manner, check-in and check-out clients for their appointments, schedules hospital discharge appointments, and answer telephone calls in a professional and courteous manner. Verifies authorization, treatment plans, connects orders for service, consent, and eligibility for future appointments.
This position will maintain databases, logs, and other records of routine information. Responds to requests for information and maintains an organized and accessible filing system and follows confidentiality regulations regarding maintenance and release of file information.
Duties & Responsibilities:
Provides a variety of routine clerical functions within a mental health office setting within our Specialty Services AD programs.
Works in a fast-paced environment that requires multitasking, excellent customer service & interpersonal skills to greet clients & visitors promptly and courteously.
Answer multi-line phones, schedule appointments, verifying insurance and collecting copays, data entry, scans/downloads info into ECR, and handles client's questions and concerns.
This position relies on heavy email correspondence.
Schedule intakes, doctor, nurse & re-auth appointments; manage appointment reminders.
Completes phone screenings for admission, coordinates with clinical team, and follows up with potential clients for scheduling, confirmation, referrals
Communicate directives, assignments, instruction, messages, and other information to program staff.
Provides transportation as needed for clients.
Maintains monthly DBHDD Programmatic Reports
Completes and updates client Financial Application as needed.
Order supplies using Multiview.
Manage credit card receipts and assist with reconciliation of PCard purchases.
Manage Time Clock program serve as Leave Keeper, and report hourly payroll to Business Office
Provide technical assistance as needed.
Inform the program manager of any abnormalities or trends revealed by the program data.
Assist with daily operations of unit as needed, may include covering some Residential Care Provider duties
Other duties as assigned.
Minimum Qualifications:
High school diploma or GED AND Two (2) years of general office or administrative experience
Preferred Qualifications:
Minimum one year experience working in a medical/mental health setting.
Outgoing, engaging and personable communication skills.
Experience working in a medical or psych office, or DBHDD.
Experience using Carelogic or other electronic record systems.
Excellent computer skills including familiarity with Microsoft Word and Excel.
Medical Terminology is essential.
Highly organized and detail oriented.
Requirements/Competencies:
Must be able to lift 20 pounds.
Requires long periods of sitting/standing.
Must be able to respond quickly to sounds.
While performing the duties of this job, the employee is frequently required to sit, move about, hear and speak.
Candidates for selection must pass a criminal background check (including fingerprinting)
Must pass a pre-employment drug screen and subject to random drug screens.
Any combination of training and experience, which would have enabled the applicant to acquire the necessary knowledge, skills and abilities
