POSITION SUMMARY:
The Scholarship & Stewardship Officer plays a crucial role in managing the advertising, awarding, and stewardship of Foundation Scholarships at USF St. Petersburg. This position is responsible for organizing, coordinating, and executing the scholarship review process through the Scholarship Committee, ensuring scholarships are awarded in compliance with donor intent. Additionally, this position is responsible for reconciling scholarship funds, serves as a liaison with the Office of Financial Aid and college/campus/unit fund administrators and the Development Team.
RESPONSIBILITIES:
Scholarship Administration
Advertise scholarship funds & Respond to student inquiries
Organize, coordinate and execute review of applicants by the scholarship committee
Create spending plans & award funds
Confirm disbursement of funding/reconcile funds
Attend University events as Foundation representative and weekly USF St. Petersburg Team Meetings along with Foundation Scholarship Office & Donor Services Meetings
Stewardship Initiatives
Stewardship of scholarship donors through the collection and distribution of thank you letters &
ThankView video campaigns
Organization of donor/scholarship recipient meetings
Implement new enhanced donor stewardship initiatives
Collaborates with advancement team to identify high priority stewardship needs
Scholarship Point Of Contact
Serve as a liaison with the Office of Financial Aid and college/campus/unit funds administrators for scholarship administration.
Respond to student inquiries regarding the availability and application process for Foundation Scholarships.
Serve as the campus expert on Foundation scholarships, communicating best practices, and USF policies and procedures where needed
Reporting & Data Management
Provides necessary updates throughout the annual endowment reporting process, including donor contact updates, scholarship fund updates and assisting with the collection of written narrative reports
Submits all necessary forms to create new funds, add funds codes, update or close funds
Compiles awarding statistics for leadership, tracking fund utilization & other identified statistics
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a Bachelor's degree with at least 1 year of experience directly related to the duties and responsibilities specified. Work experience may be substituted for the degree requirement on a year for year basis.
FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor's degree.
PREFERRED:
Professional experience in higher education, university advancement, donor relations, scholarship administration, financial aid, student affairs, accounting, communications or marketing preferred. Experience with Microsoft Excel, Canva, financial systems, constituent management systems, Salesforce.
