ORGANIZATIONAL SUMMARY:
The mission of the Department of Women's, Gender, and Sexuality Studies at the University of South Florida is feminist education, research, and practice. POSITION SUMMARY:
The Office Manager role encompasses managerial oversight of both administrative and operational support functions for the Department of Women's, Gender, and Sexuality Studies. Responsibilities include supervising employees, performing administrative and operational support functions such as course scheduling, budget and accounting, procurement, payroll, student support, and other assigned duties.
RESPONSIBILITIES:
Department Administration
Manage department administration to include budget and account transactions, reconciliation and reporting, payroll entry and reconciliation, all aspects of departmental travel (e.g. booking, reimbursements, etc), procurement, and facilities operations to include planning, tracking occupancy, and maintenance requests. Serves as the main point of contact facilitating communication between the academic department and the embedded service for Human Resource and CAS Business & Finance Support Service (BFSS)
Graduate Student Administration
Advise graduate students on program requirements and milestones. Oversee admissions, track applications, and communicate with applicants. Manage student records and documentation. Coordinate exams, thesis, and dissertations. Act as departmental contact for policies and best practices.
Class Scheduling and Course Management
Course management entry and maintenance of graduate and undergraduate class schedules in Oasis as directed by the Chair, to include structured sections, directed research (graduate and undergraduate), thesis, and dissertation sections.
Performs other duties as assigned
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a high school diploma or equivalent, with six years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
PREFERRED:
College degree within the liberal arts or business. Practical and related experience may substitute.
