Executive Coordinator to the Provost (Project Management)
Essential Job Duties
Communicates with administrators, deans, division heads, administrative assistants, and office staff across all campuses.
Schedules appointments, answers telephone calls, responds to messages, and serves campus constituents visiting the office. Maintains a pleasant and positive office atmosphere.
Coordinates the Academic Calendar and the University Calendar, working with groups across all campuses to maintain accuracy.
Coordinates and maintains correspondence to assist Provost.
Schedules council meetings, organizes agendas, and prepares necessary materials for meetings on a regular basis.
Conducts research, assembles and analyzes data to prepare reports and documents as required.
Assists the Provost and Presidents Office in preparing for Board of Trustees meetings.
Maintains hardcopy and digital faculty files and assists Provost with faculty appointment and reappointment letters, tenure and promotions letters, faculty salary equity letters, employment approval forms for full-time faculty and academic staff.
Assists Provost with faculty part-time and overload pay: informs deans of deadlines for each term, examines request lists and authorization forms, and presents materials to Provost.
Maintains Provost office files on needed information and correspondence. Includes updating faculty lists, semester and yearly folders, collecting faculty office/class schedules, etc.
Coordinates the procedures of academic awards/recognitions: Distinguished Teacher, Faculty Newcomer of the Year, Life Beautiful Awards.
Processes purchasing and payment requests for provost office including purchase orders, transfers, credit card payments, ordering supplies.
Monitors provost office budgets.
Attends meetings as needed by the Provost and the university.
Assists in the planning of academic events including Commencement, Academic Honors, and Back to School Workshop.
Other duties as assigned by supervisor

Position Requirements
Required
High School Diploma or GED equivalent
A minimum of one year previous experience in related field
Ability to operate office equipment and knowledge of computer processing systems
Proficient typist
Preferred
Bachelors Degree
Certified Administrative Professional Certification
Work Environment
General office environment with some noise and frequent interruptions
Physical Abilities
Frequently moves about the office to access file cabinets, office machinery, etc.
Frequently communicates with faculty and staff in verbal and written formats
Constantly operates a computer and other office equipment
Must be able to remain in a stationary position up to 50% of the time
In exercising the functions of this job the incumbent should be able to exert up to 20 lbs. of force occasionally and/or up to 10 lbs. of force frequently and/or a negligible amount of force constantly to move objects.
